Job Summary

Trains with fuel personnel to monitor and maintain fuel inventory levels. Responsible for reconciling all fuel invoices. Works with third-party vendors to maintain inventory and take advantage of cost-saving opportunities.

Essential Duties and Responsibilities

  • Reconciles and confirms amounts on fuel invoices within payment terms in the FuelQuest System. 
  • Verifies and posts details of business transactions to the AP and GL programs within SAP.
  • Ensures accuracy of bill of lading entries, pricing, and fuel invoices. 
  • Runs various reconciliation reports for all fuel purchases within the FuelQuest System.
  • Computes and records fuel/freight charges and other similar items.
  • Utilizes SAP to create purchase orders, goods receipts, and to verify, confirm, and enter invoice data for payment approval.
  • Responsible for monitoring fuel prices through Kalibrate software.
  • Trains on accounting, accruals, and dispatch within the FuelQuest system.
  • Monitors and maintains Company fuel inventory levels and makes adjustments to orders as needed. Works with vendors to maintain contractual inventory and distributions levels.
  • Serves as on-call support after work hours and on weekends.
  • Completes other assigned tasks as necessary.
  • Must be attentive to potential hazards and remedy or place appropriate warning signs or devices around or near the hazard as soon as is reasonably possible.
  • Must report any potential hazards that cannot be immediately remedied to a supervisor.

Knowledge, Skills and Abilities

  • Intermediate knowledge of fundamental concepts, practices and procedures of buying, merchandising and retail operations.
  • Intermediate knowledge of Microsoft Office applications including Excel, Access, Word, Outlook and PowerPoint.
  • Intermediate knowledge of SAP reporting and transactional applications.
  • Ability to communicate effectively in written and verbal form throughout all levels of the organization.
  • Ability to maintain high levels of accuracy, productivity, and confidentiality. 
  • Ability to consistently multitask.
  • Ability to prepare reports and business correspondence.
  • Ability to show information in presentation or diagram form.
  • Ability to comprehend, interpret, and analyze information.
  • Ability to research information, establish facts and draw valid conclusions.
  • Ability to work on-call and flexible schedules including nights, weekends and holidays.

Education, Experience, and Qualifications

  • High school Diploma or GED and five or more years of related experience preferred, or equivalent combination of education and experience.
  • Partners must be 21 years of age or older to drive for Company business in accordance with the BGC Business Driver Policy.
